Multimedia developers and trainers have been desperate to use automated translation (aka “machine translation”) for years, yet upon closer scrutiny it has always been determined that automated translation is too inaccurate. So, companies either scratch translation completely or bite the bullet and pay the cost of using professional translators.

The good news – perhaps great news! – is that automated translation is an excellent potential solution to many of these issues and can cut the costs of translation by up to 95%. Especially if you or your client has dozens or hundreds of videos or hour and hours of footage which makes the cost of professional translation unbearable. But there are a few basics to understand.

Automated Translation is the result of computer programming. As such, it has all of the basic issues software developers face every day – the computer has no ability to judge, decide, or think for itself. Let’s study translation of baseball text to illustrate: “The batter is at the plate. He shakes his bat and prepares to swing.” The result in other languages can be something like, “The bread dough is on the platter. He shakes his flying rodent and prepares to dance. “

3 tips to know about automated translation:

1) Automated translation will never work well if you compose your text as you would always do, without planning or forethought for automation

2) If you change the way you write your original text, you can use automated translation to save thousands or even hundreds of thousands of dollars

3) For the words and expressions that have multiple potential translations, there is a way to pre-determine preferred or correct translations.

What does this mean? This means that if you put forethought into the words and sentence structure of your web pages, then you can translate into dozens of languages at low, low cost. There are techniques that can be used to produce 99% accuracy in auto-translation on general subjects and paying only pennies. Preparing text for Automated Translation is crucial. Compose your English version (or master language) as you always do, then clone it and go to work preparing it for automated translation. It is common in the world of multi-language text to have an original – e.g. your base English version – that is exactly as you desire it to be.
<h2>Global English</h2>
So, create a copy of that base English that you will rewrite following the rules for automated translation. The newly rewritten version could be called the “global English” version, and its purpose is only to be the text used to run through translation software, not necessarily used in your application or on your media.

The basic rules for success with automated translation only take a few hours to learn. Yet information on the rules and the secrets to successful automated-translation is almost impossible to find.

The consultants with SubtitleYourVideo.com will be pleased to give you an online short class on How To Write for Automated Translation so that mastering these techniques is quick.

But remember that consistently following the rules takes discipline, and cutting corners causes errors that will reverberate across several languages.

These rewrite techniques work for any text. Using these techniques adds a step in the thought process and it takes awhile until these rewrite techniques begin to come naturally. But the cost savings can be enormous and the techniques may enable certain trainers or designers to translate their courses and media where had been unaffordable in the past.

Subtitles for dialog requires more precise timing than for narration. You will need to devote more time and effort to creating subtitles for conversations or group dialog exchanges.

The first difference is to prepare your transcribed script differently for dialog than for narration. For narration (including documentaries and corporate), a blob of transcribed text is fine. This software will divide narration into small chunks for easy subtitling. With subtitles over narration, the subtitle text can remain on screen as long as required for the audience to read the text, because narration is more free-flowing and b-roll covers the gap giving a second or two leeway in timing with the on-screen image.

But for dialog, there is an increased need for exact timing. If what a character says appears on screen 2 seconds after it was spoken, another character may be speaking and the audience loses the thread of the story.

In order to achieve better subtitle timing for dialog, the transcription (original script) often needs to be split differently than the speech of a single narrator. The original director’s script may be an excellent start for this purpose. Although there will be notes and action descriptives, in a director’s script the dialog is generally well divided to form the basics of subtitling. However, if no original script is available, typing a transcription of a video should not be just a “blob” of text, but should be divided by character.

Dialog script transcription

Below are suggestions for pre-subtitling dialog transcription that include either designating a character name or simply designating “new speaker”. The character name will need to be removed before subtitling, so is optional during the transcription phase of the project. Transcription examples:

Example 1:
Person A: Hi, Joe how are you today?
Person B: I guess I’m okay.
Person A: Have you by any chance seen Hank? He was supposed to come by today.

Because designating the exact character (Person A and B) is wholly optional from a subtitling standpoint, during transcription it may be easier to use “>” to indicate a new speaker, as follows:

Example 2:
> Hi, Joe how are you?
> I guess I’m okay.
> Have you by any chance seen Hank? He was supposed to come by today.

Preparing dialog for subtitles

Once the script has been transcribed in the above manner, come back to combine very short phrases into a single line, unless you know that there is a significant pause. So, assuming that the dialog is non-stop, when you revise your script, it may look like this:

> Hi, Joe how are you? > I guess I’m okay.
> Have you by any chance seen Hank? He was supposed to come by today.

In this way, when you click in the software to assign timecodes to each subtitle, the two short ones will appear as 2 lines of the same subtitle:

> Hi, Joe how are you?
> I guess I’m okay.

The software will split the longer sentence, then remove the “>” because there is no need to designate “new speaker” within a single subtitle:

Have you by any chance seen Hank?
He was supposed to come by today.

Note that this software will auto-split long lines and paragraphs, so concentrate on short phrases and changes in speaker.

Designating a pause in dialog

If during the transcription phase the transcriber notes that there is, indeed, a pause, insert “>>”. In this way, a blank subtitle will be inserted by the software, so that during the timecode-setting phase, the subtitle will disappear from the screen. When you go back to combine 2 short phrases into one, then this same >> will also indicate to you that these particular phrases will not play well on one subtitle.

Example 3:
> Hi, Joe how are you?
>> I guess I’m okay.
> Have you by any chance seen Hank? He was supposed to come by today.

The software will treat the above as follows. When you click, each subtitle group will be properly divided:

Hi, Joe how are you?
(blank)
I guess I’m okay.
Have you by any chance seen Hank? He was supposed to come by today.

3 phases to subtitle creation

All subtitles go through 3 phases: transcription, timecode assignment to each sentence, and lastly an auto-split by the software to create short subtitles. The last auto-split is where:

“Have you by any chance seen Hank? He was supposed to come by today.”

will become:

Have you by any chance seen Hank?
He was supposed to come by today.

“Conversion” is a process of passing a movie through one of many software that will change the size – both the physical screen size and the file size – of your video. There is also another type of conversion that applies to DVDs – changing a video ready for American television for European or Asian television. The television type of conversion generally does not affect movies on the web (more later on this page).

Conversion Video Size and File Size

The online video converter included in Subtitle Your Video is fine for converting smaller videos, for example for use on YouTube or creating subtitles with the Subtitle Your Video. Huge videos do not play well or convert well on the web. That is why website video players are so small. So, if your video is over 100 megabytes, compare your movie to the conversion settings below. If your video does have similar settings to the below, your movie can be up to 200 megabytes. If your settings are not as described below, then your video is too large for the web and you need to convert. This page helps you make your video smaller by converting to a size useful for the web and useful for creating subtitles.

After you create the settings, a summary in the video
conversion software may look something like this:

Before you start: Locate video conversion software or use what you already have such as Adobe Flash, Quicktime converter, or almost any other converter – free or purchased. Then, a video has 3 main elements that you will vary in order to make your video smaller in size:

1) Screen size (player window size) What is too large for the web is anything wider than 360 or higher than 340. So, if your video screen is larger than this, look for a setting to convert your video be no wider than 360 and no higher than 340. Movie heights and widths vary according to their layout so anywhere in this lower range is fine. These settings sometimes are listed as “crop” or “resize”.

2) Video Resolution The video resolution is basically how many “dots” of color there are in each inch of movie. The more dots there are, the bigger the file size. On the web, it is not necessary to have as many dots as on television or in the movie theater. Especially just for creating and translating subtitles. So, by cutting the number of dots – cutting the resolution – you will cut the file size substantially. Video converters have a setting for Resolution – choose “Low”. Remember, you do not need to use this low resolution version as your final video for web or DVD, this version is just for preparing the subtitles.

3) Audio Quality Cutting the audio quality is a great way to cut the file size. For creating subtitles, it is necessary to hear the audio, but the quality of that audio does not need to be high. So, look for a setting to change from “stereo” audio to “mono”, and select the lowest audio number possible.

If your video extension is: .flv or .m4v, small in size (example: lower resolution, 320 x 280) this is the ideal movie. Click Upload New and upload your movie. Click refresh every 20 seconds until status is Ready. If you don’t have .flv or .m4v, the software converts .mov, .mp4, avi, and .wmv into web movies. If your video ends in .mpg, change the extension to .mp4. Do not upload .f4v movies, please. Large movies may take a long time to upload and long time to convert online, so if you can possibly convert to smallish .flv or .m4v before uploading that would be great! (See Footnote 1)

Footer: Monster-size videos can clog the online conversion feature for a long time and slow down your use of this software. So, if you have video converters, please convert to low resolution .flv or .m4v, smallish in size before uploading. This online version of the video is only needed for subtitle creation/translation. For your final subtitled video for your site, you can swap the low resolution for high resolution video.

7. Select “not sequentially numbered”

8. Select the translator’s file format (MS Word table or Excel)

9. Browse to find the file you wish to import

10. Click Import

11. Click Go Status Screen

12. click Continue

Define column content

Note: your file columns appear, with pulldowns at the top of each column and checkboxes to the left of each row.

1. Deselect any rows not for imported (i.e. column headers). Some characters may be odd – the text is not fully processed at this point.

2. Define the column content by using the pulldowns. Select the Translation Language text column. This is the only column that is required, others are optional.

3. The software will use the timecodes and numbers from the original language unless someone opens a translation language in the Timecoder and makes changes. So, only import the translation column, unless you plan to make changes to the translation timecodes.

4. Note: You will see that “new lines” were replaced by backslashes “\”. Also, this software does NOT handle hilited text (such as yellow hilites) nor Track-Changes text. Remove both before importing.

5. Click SAVE.

6. Click Import Status Screen.

7. Click Refresh until the row turns green.

8. To see your import, click View Results. If the screen is white, there were probably hilites, track changes or code of some type (code is designated with angle brackets < > in your document. Code will import, but not display with View Results. Hilites and track-changes do not import).

Important!

It is possible that when you open your exported file in a text editor, you may see some strange characters. In fact, your text may look like a mess! But don’t type in the file, don’t change anything, rather first try it in the the receiving software (e.g. YouTube, Subtitle Your Video player, other player…). 98% of the time the text will be flawless. If, however, the text is a jumble, you probably tried to import a file that was neither ascii nor UTF8. For example, perhaps the original text was encoded as Windows-Japanese. Re-import your file, changing the import encoding to Windows-Japanese, then re-export and re-test on the end-software.

These glossaries often include preferred translations of product names, in-house terms, marketing preferences, etc.

Glossaries can be associated with one single project, or used over many projects. Make a project called Glossary. The Translation and Review Center has a feature to add individual entries to the Glossary. To import Glossary additions as a file, just add a new segment to the Glossary project and import file. The name of this segment is very important, because it must have the same first 4 letters of the project with which you want the Glossary to be associated.

Example:

You create a Glossary project with a Glossary segment named “UPS1″ or “UPS1a”

Then, when you create a new project named “UPS1DHL”, this new project will call up this glossary for the translators because both the project name and the glossary segment name start with “UPS1″.
